Job Description
TASKS MAY INCLUDE
• Create subcontractor PO billing schedule of values in Timberline system
• Updating and routing subcontractor change orders in Timberline system
• Scan, code and route subcontractor billings in Timberscan system
• Manage and track subcontractor work orders through final execution
"Ideal candidate will have worked in administration role for several years preferably with only a couple employers. Any construction experience would be a big plus." They will reject candidates that are too green. Attention to detail, know excel in and out and good with picking up computer software easily.
Skills-Construction a plus but open, detail oriented & organized, electronic documents, upload documents, excel and sharepoint.
An Austin based commercial general contractor, is looking for a project assistant with experience working in the construction industry. The successful candidate should possess outstanding time management and organizational skills and have the ability to manage multiple projects and work under constant deadlines. Ability to anticipate problems, develop solutions, and work with strong personalities is paramount. The successful candidate should have a “can do” attitude with the ability to assist in multiple areas within the Company
DUTIES: working in the back office, supporting the project managers that are out in the field. Lots of work w/in timberline, handling change orders, and manage that process of review and approval. Managing documents for projects on SharePoint, ex. logs, etc. At the beginning of the project there are a lot of subcontracts, so manage where each of them is in approval and acceptance, manage check distribution process (ex. did you get the lien release?). Will be interfacing with the subcontractors letting them know what they need in order for the check to be released.

• Upload and manage documents on SharePoint
• Update and maintain various schedules in Excel
• Manage project mail routing to appropriate person
• Assisting Project Director and Project Manager
• Daily office administrative duties such as, typing, filing, answering phones may be required

SOFTWARE: Excel and Word, use SharePoint to share files. Adobe Acrobat to create and edit files.

Job Requirements
QUALIFICATIONS
• Outstanding writing, editing, and communication skills
• High school diploma required with 2 to 4 year degree preferred
• Plus would be if they have construction industry knowledge but not a must have
• Extensive knowledge and hands-on experience with standard software products including: Microsoft Word, PowerPoint, Excel, Outlook and Adobe Acrobat.
• Demonstrated ability to work and solve problems under pressure and meet multiple simultaneous deadlines consistently
• Previous Timberline software experience is preferred
• Active Notary license is preferred
• Ability to thrive in a fast-paced, deadline-driven environment
