Job Position: Admin/ Bookkeeper

Location: Austin, TX 78757

Shift: 8am-4pm

Description:

Full time role in North Austin | Family-Owned Construction Company

A well-established, family-owned utility construction company in North Austin (30+ years in business, $8 10M annual revenue) is seeking an Administrative to support daily office operations. This is a critical role the previous person essentially ran the office and they are looking for someone of the same caliber. Their employee is having a baby in July, they want to have plenty of time to cross train.

Key Responsibilities
- Handle correspondence (email, mail, phone calls)
- Act as a point of contact for staff, vendors and visitors
- Full-cycle Bookkeeping (AP/AR) using QuickBooks (Monthly payables: 8th 10th of each month are busy, high-priority days)
- Manage office supplies
- Maintain filing systems (digital and physical)
- Ensure the office is clean, organized and fully functional
- Prepare and update reports
- Support onboarding of new employee
- Track contracts, licenses and important documents and update accordingly
- Type, edit, and send invoices and estimates for customers
- Keep up with the accounts payable and accounts receivable in QuickBooks Desktop

Required Qualifications
- Meticulous attention to detail with numbers
- Strong Excel skills (construction invoicing experience a major plus)
- AP and AR experience with QuickBooks preferred but open to accountants who don't have this experience
- Ability to multitask and manage work coming from different people
- Comfortable in a traditional, paper-heavy office environment
- Tech-savvy and able to learn new software quickly
- Strong written communication and business letter writing skills
- Construction bookkeeping experience is a definite PLUS
- Attention to detail and discretion with confidential information
