Job Description

We are seeking a reliable and detail-oriented Medical Back Office Customer Service Representative to provide administrative and patient support in a fast-paced healthcare environment. This role focuses on behind-the-scenes customer service tasks such as processing patient requests, managing records, coordinating scheduling needs, verifying information, and assisting clinical and billing teams. The ideal candidate has strong communication skills, excellent organizational abilities, and experience in a medical office or healthcare setting.

Key Responsibilities

  • Respond to patient inquiries and requests via phone, email, or messaging platforms in a timely and professional manner.

  • Support patients with billing questions or portal access as directed by internal workflows.

  • Verify patient demographics, insurance details, and required documentation for appointments or procedures.

  • Manage incoming documentation, including medical records, forms, and lab results, ensuring timely processing and routing.

  • Assist with prior authorizations, scheduling support, or follow-up tasks as needed.

  • Document all interactions and updates in the EMR or practice management system with accuracy.

  • Handle sensitive patient information in compliance with HIPAA and organizational privacy standards.

  • Provide excellent service with a focus on patience, empathy, and professionalism.

Job Requirements

Qualifications

  • Preferred:

    • Experience in a medical office, customer service role, or healthcare administrative position.
    • Familiarity with EMR systems and healthcare documentation workflows.

    • Knowledge of insurance terminology and basic medical office procedures.

    • Strong communication and interpersonal skills.

    • Exceptional attention to detail and organizational skills.

    • Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
