About The Organization:
This nonprofit organization is committed to fostering vibrant communities across Central Texas. They operate eight community centers, six early childhood education centers, sixty after-school programs on school campuses, and twenty summer camps. We are seeking a highly skilled Executive Assistant to provide comprehensive support to three Austin-based leaders for this organization.
Key Responsibilities:
- Provide full administrative support to three executive team members.
- Manage complex calendars, including scheduling internal and community meetings.
- Coordinate on-site and off-site meetings, events, and appointments. This includes arranging meals, setting up technology, and preparing supporting materials.
- Oversee calendar management for board committees and task forces, including note-taking and preparation of meeting materials.
- Handle business-related travel arrangements, including event registration, transportation, accommodations, and the preparation of the CEO’s itinerary.
- Maintain and track internal and external contacts, and manage the Executive’s contact database.
- Process executive expenses and manage invoices for consultants.
- Screen and manage executive telephone calls.
- Conduct research and prepare materials for special projects, including briefing sheets and presentations.
Job Requirements
- Bachelor’s degree preferred, but not required.
- Minimum of 5 years of administrative experience.
- Proven experience in managing multiple calendars.
- Proficiency with Microsoft 365 strongly preferred.
- Experience working within an executive-level team is highly desirable.
