Executive Assistant
Job Description
Job Summary:
We are accepting applications for a highly organized, proactive, and professional Executive Assistant to provide high-level administrative support to multiple senior executives. The ideal candidate will be capable of managing complex schedules, handling confidential information, and coordinating across departments in a fast-paced environment. This role requires strong multitasking skills, excellent communication, and a collaborative mindset.
Key Responsibilities:

Manage and maintain multiple executive calendars, including scheduling meetings, appointments, and travel arrangements.

Screen and prioritize incoming communications such as emails, calls, and correspondence.

Prepare and edit reports, presentations, and other documents as needed.

Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.

Handle confidential and sensitive information with discretion and professionalism.

Assist with project coordination and ensure deadlines are met across teams.

Coordinate travel logistics (domestic and international), including accommodations and itineraries.

Liaise with internal and external stakeholders on behalf of the executives.

Manage expense reports and support budgeting or procurement processes as needed.

Maintain filing systems and ensure office processes are efficient and up to date.
Job Requirements
Qualifications:

Proven experience as an Executive Assistant, Personal Assistant, or similar role. (2-4 years exp)

Excellent organizational and time management skills.

Strong written and verbal communication abilities.

High level of discretion and confidentiality.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace.

Ability to work independently and handle multiple tasks simultaneously.

Flexibility and adaptability to changing priorities and deadlines.
Additional Information
Qualifications:
-
Associate’s or Bachelor’s degree preferred

Proven experience (4-5 years) as an executive assistant, administrative assistant, or in a similar role supporting multiple leaders.

Exceptional organizational and time-management skills.

Strong written and verbal communication abilities.

High level of discretion, professionalism, and confidentiality.

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Teams).

Ability to prioritize and adapt in a dynamic, fast-paced environment.

Experience managing multiple competing priorities and deadlines.
