Job Description

Job Summary:

We are accepting applications for a highly organized, proactive, and professional Executive Assistant to provide high-level administrative support to multiple senior executives. The ideal candidate will be capable of managing complex schedules, handling confidential information, and coordinating across departments in a fast-paced environment. This role requires strong multitasking skills, excellent communication, and a collaborative mindset.

Key Responsibilities:

  • Manage and maintain multiple executive calendars, including scheduling meetings, appointments, and travel arrangements.

  • Screen and prioritize incoming communications such as emails, calls, and correspondence.

  • Prepare and edit reports, presentations, and other documents as needed.

  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.

  • Handle confidential and sensitive information with discretion and professionalism.

  • Assist with project coordination and ensure deadlines are met across teams.

  • Coordinate travel logistics (domestic and international), including accommodations and itineraries.

  • Liaise with internal and external stakeholders on behalf of the executives.

  • Manage expense reports and support budgeting or procurement processes as needed.

  • Maintain filing systems and ensure office processes are efficient and up to date.

Job Requirements

Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role. (2-4 years exp)

  • Excellent organizational and time management skills.

  • Strong written and verbal communication abilities.

  • High level of discretion and confidentiality.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace.

  • Ability to work independently and handle multiple tasks simultaneously.

  • Flexibility and adaptability to changing priorities and deadlines.

Additional Information

Qualifications:

  • Associate’s or Bachelor’s degree preferred

  • Proven experience (4-5 years) as an executive assistant, administrative assistant, or in a similar role supporting multiple leaders.

  • Exceptional organizational and time-management skills.

  • Strong written and verbal communication abilities.

  • High level of discretion, professionalism, and confidentiality.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Teams).

  • Ability to prioritize and adapt in a dynamic, fast-paced environment.

  • Experience managing multiple competing priorities and deadlines.
