Job Description
Are you a detail-oriented Administrative Assistant with a knack for organization and a flair for managing multiple tasks in a busy environment? Do you excel in Excel and have a solid understanding of construction processes? If so, we have an exciting opportunity for you!
A prominent commercial general contractor is seeking an Administrative Assistant with a minimum of 5 years of administrative experience, tenure of over 2+ years with each prior employer, and advanced knowledge of Microsoft Excel. This is a dynamic, fast-paced environment with a wide variety of personality types and demands, so the ability to multitask and adapt is critical.
Key Responsibilities:
- Create subcontractor PO billing schedules, update and route subcontractor change orders, and manage subcontractor work orders through final execution using the Timberline Software System.
- Upload, manage, and maintain various project documents and logs using Sharepoint.
- Update and maintain various schedules, and manage detailed documents using Microsoft Excel.
- Assist Project Directors and Project Managers with document flow, manage project mail routing, and handle daily office administrative duties as needed.
- Interface with subcontractors to ensure all necessary documentation is in order for check release.
Job Requirements
- Experience: Minimum of 5 years in an administrative role
- Tenure: Minimum of 2 years with each prior employer.
- Skills: Advanced Excel knowledge required. Familiarity with Timberline and SharePoint is highly preferred. Adobe Acrobat experience is also beneficial.
- Industry: Prior Construction experience required.
